Passport renewal: when to start and what to have ready
Most of a passport renewal is waiting, and the waiting starts earlier than people expect: the last six months of a passport are unusable for much of the world. The rest of it is a hunt for a birth certificate or a marriage certificate. Here is the timing, and the pile to assemble before you begin.
When should you start a passport renewal?
The date printed inside your passport is not the date it stops being useful. A great many countries require at least six months of remaining validity on the day you arrive, and airlines enforce it at check-in on the destination's behalf, so the final six months are dead time for those trips even though the document still looks current. A renewal itself can take a couple of weeks or a couple of months. Nine months before the printed expiry is the comfortable place to start — it leaves the slow version of a renewal room to land before the usable window closes.

One more line worth checking before booking anything: the Schengen area asks for a passport issued within the previous ten years, as well as valid for three months beyond your intended departure. That catches British passports renewed before September 2018, when HM Passport Office still added up to nine unused months from the old passport to the new one — those passports can be inside their printed expiry and still be refused, because the issue date is more than ten years back.

How long is a passport valid where you live?
Validity decides your expiry date, and your expiry date decides when all of the above has to happen. Adult ordinary passports, verified against each issuing authority on 23 July 2026 — children's passports are shorter almost everywhere, and a few countries issue a choice of terms:

Knowing the term is enough to work the rest out backwards: expiry is the issue date plus the term, the usable window ends six months before that, and the renewal wants starting three months before the window closes.
The slow part is finding the documents, not filling the form
Every item in the list above is a document that already exists somewhere. The renewal is slow when they are spread across a filing box, a parent's house, an old email account and a camera roll, and it is quick when they are in one place that answers to a search. A passport gives about nine and a half years of quiet and then becomes urgent in a month you have already filled with something else. The fix is to hand the date to something that will raise it on its own rather than to your memory.
